Replyra Guides
Tone matters as much as content. A salon and a contractor shouldn't sound the same in a review reply. Here's what good responses look like across five common small-business types — one good-review reply and one bad-review reply for each.
Tone: warm, personal
"Thank you so much — Jenna will be thrilled to hear this! We'll see you at your next appointment."
"You're right that the wait wasn't okay, and we're sorry. We've adjusted our booking buffer so this doesn't happen again — hope we get the chance to make your next visit better start to finish."
Tone: friendly, brief
"This made our whole team's day — thank you for coming in, and for the kind words about the staff!"
"Sorry the dish didn't land the way it should have — that's not the standard we hold ourselves to. We'd love another shot; next one's on us if you're willing to come back."
Tone: professional, appreciative
"Thanks for shopping with us and for taking the time to write this — we really appreciate it."
"We're sorry the item didn't match the listing — that's a fair complaint. Please reach out to us directly so we can sort out a return or exchange."
Tone: direct, solution-first
"Appreciate you taking the time — glad the job came out right and on schedule."
"You're right the crew ran late that day — that's on our scheduling. Give us a call and we'll make the fix at no charge."
Tone: professional, careful, no specifics about care
"Thank you for trusting us with your care and for sharing this — it means a lot to the whole team."
"We're sorry your visit didn't meet expectations. We'd like to understand more — please call our office directly so we can look into it."
